DMV/VERIFI Tip of the Week, #68
Accounting for “VOIDed” Secure Paper MV-50s.
Per past practice, the DMV will continue to deem secure paper MV-50s with erasures, line-outs, white-outs or other evidence that information has been altered as non-compliant with Commissioner’s Regulations. When any required information is mistakenly written or typed on a secure paper MV-50 during preparation prior to delivery, dealers must mark it as “VOID” and use another secure paper MV-50.
Dealers must account for a voided secure paper MV-50 in VERIFI.
- If the voided secure paper MV-50 exists in a book that is still in the facility’s possession, simply select “Book Inventory”, select the book that the associated form is from, select “Edit Form Details” in top right of screen and change the status of the form to “Voided”. Attach the “Voided” MV-50 to the corresponding Part 4 (DMV copy) and, when all forms have been issued, return the book to DMV as you normally would.
- If the voided secure paper MV-50 is from a book that has already been returned, you will not be able to adjust the form status to “Voided” in VERIFI. Dealers should attach the voided MV-50 (and TCR if applicable) to the inside cover of the book the replacement MV-50 was issued from and, when all forms have been issued, return the book to DMV as you normally would.
NOTE: As per CR-78 Motor Vehicle Dealers & Transporters Regulations section 78.11(a)(10) “When a certificate of sale is voided, all copies must be sent to the department” meaning within a completed and returned book. Books returned containing voided forms may be subject to review to ensure compliance with these regulations.
